You can upload invoices or receipts directly into Capsure — we’ll automatically extract the details and add them to your board.

How to upload an invoice

  1. Go to your Ready to review list

  2. Click Get started (or Add invoice)

  3. Select Upload a file

  4. Drag & drop your file or click Choose files

  5. Your invoice will be added to your board automatically

That’s it — no manual data entry needed.


What can I upload?

Capsure supports:

  • PDF invoices

  • Photos of receipts

  • Screenshots

  • JPG, JPEG, PNG files

  • Up to 10 files at once

You can upload invoices whether they’re paid or unpaid.


Using your phone? You can take a photo 📱

If you have a printed receipt or paper invoice:

  • Open Capsure on your phone

  • Tap Upload a file

  • Choose Take photo (or camera)

  • Snap a picture and upload


What happens after I upload?

Once uploaded:

  • Your invoice appears in Ready to review

  • Capsure automatically fills in key details

  • You just quickly check everything looks right

From there, you can move it through your workflow and get it ready to claim.


Tips for best results

To help Capsure extract details accurately:

  • Make sure the invoice is clear and easy to read

  • Avoid blurry or cropped images

  • Include the full invoice (not just part of it)

Don’t worry if something isn’t perfect — you can always edit the details.


When should I use Upload vs Email?

  • Use Upload if you already have a file or paper receipt

  • Use Email if invoices are sent to your inbox regularly (this saves time long-term)

Something not working?

If your file doesn’t upload or looks incorrect:

  • Check the file format (PDF, JPG, PNG)
