Email to Board is one of the easiest ways to add invoices to Capsure.

Instead of downloading files and uploading them manually, you can email invoices directly into your Board — where they’re processed and ready to review.
This article explains how Email to Board works and how to use it effectively.
What is Email to Board?
Email to Board allows you to send invoice attachments directly into Capsure using a unique email address.
When an invoice is emailed:
The attachment is processed
Key details are extracted
The invoice appears on your Board in Ready to Review
It works the same way as uploading — just faster.
Your Capsure email address
Every Capsure account has a unique email address.
You can access yours at any time by clicking Email to board in the top-right corner of the app.

We recommend:
Saving it in your email contacts
Giving it a recognisable name (e.g. Capsure invoices)
This makes it easy to use whenever an invoice arrives.
Forwarding an invoice from your personal inbox
The simplest way to use Email to Board is to forward an invoice you’ve already received.
To do this:
Open an invoice or receipt in your email inbox
Forward the email with the attachment to your Capsure email address
Wait a few seconds
The invoice will appear on your Board in Ready to Review.

Emailing a photo of a receipt or invoice
You can also email photos or screenshots to your Capsure address.
This is useful when:
You’ve taken a photo on your phone
A provider sends you a receipt by message
You don’t have a PDF
As long as the file is attached to the email, Capsure can process it.
Having providers email invoices directly
Once you’re comfortable with Email to Board, you can skip forwarding altogether.
Instead, you can ask providers to email invoices directly to your Capsure email address.
We recommend:
Asking providers to CC your Capsure email address
Continuing to receive invoices in your personal email as well
This keeps you in the loop while letting Capsure collect invoices automatically.
Using the provider email template
Capsure includes a ready-to-use email template you can send to providers.
The template explains:
Why you’re using Capsure
Which email address to send invoices to
What the provider needs to do
To copy the template, click Email to board, and open up the section Share your Capsure email address with a provider. You can copy the template and send it as-is, or edit it if needed.


Good to know
A few things to keep in mind when using Email to Board:
Only attachments are processed
The email body itself is not stored or displayed
Attach one invoice or receipt per email
Email to Board does not work like a regular inbox — it’s an intake tool
If something doesn’t look right after an email is processed, you can always edit the invoice details manually.
When to use Email to Board vs Upload
Both methods achieve the same result — an invoice on your Board.
Upload is great for one-off files or getting started
Email to Board is ideal for ongoing use and automation
Most users end up using Email to Board as their primary method once it’s set up.
