Understanding your Board

Your Board is the main workspace in Capsure.

It shows all your invoices, organised by their current status, so you always know:

  • What needs reviewing

  • What’s ready to claim

  • What’s already claimed

  • What still needs to be paid

Each invoice lives on the Board from the moment it’s added until you clear your Claimed list.


How the Board works

Every invoice you add to Capsure appears on your Board and moves through clear stages as you take action.

The Board is designed to:

  • Prevent double handling

  • Reduce missed claims

  • Give you confidence about where things are up to

You can click on any invoice on the Board to view details or make changes.


Ready to Review

Invoices appear in Ready to Review when they’ve just been added to Capsure. This can be from uploads or through Email to board.

At this stage:

  • The invoice has been processed

  • Key details have been extracted

  • Nothing has been confirmed yet

  • The invoice will also appear in your Table

This is where you should:

  • Open the invoice

  • Review the extracted details

  • Make any edits if needed

  • Click Confirm details when everything looks right

Once confirmed, the invoice moves to Ready to Claim.

The ‘New’ status will appear when an invoice has not been opened yet.


Ready to Claim

Invoices in Ready to Claim have had their details reviewed and confirmed.

This list helps you clearly see which invoices are waiting to be claimed.

This means they are:

  • Structured

  • Accurate

  • Showing in the ‘Ready to claim’ tab inside the Claim Wizard web extension

If you use Claim Wizard during your claim, the invoice will automatically move to Claimed once the claim is submitted.

If you don’t use Claim Wizard, manually mark the invoice as claimed using the Mark as claimed button. This will move the invoice to the Claimed list.


Claimed

Invoices move to Claimed once they’ve been submitted as part of a claim.

This list helps you:

  • Keep a clear record of what’s already been claimed

  • Avoid submitting the same invoice twice

  • Maintain a clean audit trail

You can still open claimed invoices at any time to:

  • View details

  • Read notes

  • Access the original invoice file

Tidying your list 🧹

Use the Clear list button at the top of the Claimed list to keep your core workflow tidy. All invoices will remain in your Table for long term management.


Need to Pay

Invoices appear in Need to Pay when payment to the provider is still outstanding. You control this yourself by switching on payment reminders within the invoice.

This is an additional list which is seperate to the core workflow - it simply exists to remind you to pay your providers. Invoices in this list will still appear in the list which matches its status.

This list helps you:

  • Track unpaid invoices

  • Stay on top of payments

  • Avoid missing provider invoices

Once payment has been made, the invoice can be updated accordingly.

ℹ️ Need to Pay list will only show when at least one invoice has a payment reminder set.


A note on flexibility

Your Board is not rigid.

You can:

  • Edit invoices after confirming details

  • Update payment or claim status if something changes

  • Move invoices through the workflow as needed

Capsure is designed to support real-life scenarios, not lock you into a strict process.


When to use the Board vs the Table

  • The Board is best for day-to-day workflow and tracking progress

  • The Table is best for searching, filtering, and reviewing large volumes of invoices

Both views show the same data — just in different formats.
