When an invoice is added to Capsure, we automatically extract and pre-fill key details for you.

This article explains:

  • What information Capsure extracts

Capsure’s goal is to reduce manual entry — while keeping you fully in control.


What information Capsure extracts

Capsure attempts to extract the same information required by the NDIS for claiming and auditing.

Based on the invoice, we’ll automatically try to pre-fill:

  • Provider name

  • Provider ABN

  • Date of support

  • Support cost

  • Support category

  • Support description

These are the key fields used during the claim process.


Support category and support description

Support category

Capsure intelligently pre-fills the support category based on what the invoice appears to be for.

This saves time, but it’s important to:

  • Always review the category

  • Make sure it accurately reflects the support provided

You can change the support category at any time.

ℹ️ Capsure does not know the details of your individual NDIS plan

All 15 NDIS support categories will appear in the support category list. If you’re editing the support category, please make sure to select one which exists in your plan.

Support description

Capsure also generates a short support description summarising what the invoice is for.

  • Descriptions are kept under 40 characters to align with NDIS claiming rules

  • They’re designed to be clear and concise

  • You can edit or rewrite them however you like


Understanding pre-filled fields

Any field that Capsure has pre-filled for you will be marked with a purple sparkle icon.

This simply indicates:

  • Capsure has extracted or suggested this value for you

If you edit the field in any way, the sparkle will disappear — showing that the value is now fully manual.

This is purely visual and does not affect how the invoice works.


You’re always in control

Every single field on an invoice is:

  • Fully editable

  • Editable at any time

  • Editable even after claiming

Capsure’s extraction and pre-filling exist to reduce admin — not to lock you into anything.

If something changes, or if you spot an error later, you can always update the invoice.


Referring to the original invoice document

At the bottom of each invoice, you’ll find the original document attachment.

You can:

  • View the original invoice at any time

  • Download it to your device

  • Open it in a new window for reference

This makes it easy to double-check details or keep records aligned with the source document.


Confirming invoice details

Once you’ve reviewed the invoice and everything looks correct, click Confirm details.

This tells Capsure that:

  • The information is accurate

  • The invoice is ready for claiming

After confirmation, the invoice will move to Ready to Claim on your Board.

You can still edit the invoice later if needed.

ℹ️ The Confirm details button will only become active once all details have been completed.
